Prompts. Skills. Tools. For every office on campus.

Copy-ready prompts by department, skills that teach your AI a repeatable job, and the tools worth knowing. Copy, fill in the brackets, check the result.

Start here

Five stages of a good prompt.

Brief your AI the way you would brief a new coworker. Each stage removes a guess.

01

Role

Who should answer? "Act as a careful meeting coordinator writing for busy staff."

02

Task

One clear verb: summarize, compare, draft, calculate. Say what done looks like.

03

Context

The facts it cannot know: audience, situation, source material, past decisions.

04

Constraints

Boundaries: length, tone, what to leave out, what to do when a fact is missing.

05

Format

The shape you need: bullets, a table, an email, headings, a word count.

Try it

A vague request, made useful.

All five stages in one prompt. Paste it into Copilot, ChatGPT or Claude with your own notes.

Role: Act as a careful meeting coordinator writing for a busy project team.
Task: Summarize the decisions and follow-up work from these notes.
Context: These are approved, de-identified notes from a planning call. The readers missed the call and need the next steps. Use only the notes below: [PASTE NOTES]
Constraints: Do not invent a decision, owner, date, or quote. Mark an action item UNASSIGNED when no owner is named. Leave out personal details.
Format: Three short sections headed Decisions, Action Items, and Open Questions. Put action items in a table with Owner, Action, and Due Date columns.

Can I paste this?

Ask where the information is allowed to go before anything goes into an AI tool.

  • Student, employee, donor or financial records stay in college-approved tools only, like Microsoft 365 Copilot signed in with your college account. Ask IT if unsure.
  • Personal ChatGPT, Claude or Gemini accounts are for public or made-up information: drafts, ideas, practice with fictional examples.
  • Remove names and IDs when you can. De-identified data shows the same patterns with less risk.
  • A human always reviews. AI writes the first draft. You own the facts, the numbers and the final decision.

Your first ten minutes

Three steps to try today.

  1. Open Copilot, ChatGPT or Claude and pick a prompt from your department.
  2. Click Copy, paste it in, and replace every [BRACKET] with approved details.
  3. Check the answer against your source. Ask it to "show where each fact came from."

When chats go wrong

Start fresh more often.

Long conversations get worse as the AI juggles everything said so far. When answers drift, ask for "a five-bullet summary of what we decided," then paste it into a new chat.

Prompt library

Prompts for every department.

Works in Copilot, ChatGPT, Claude or Gemini. Replace the [BRACKETS], keep the rules, check the output.

Skills

Teach your AI a job once.

A prompt is one request. A skill is a standing procedure your AI follows every time that kind of task comes up.

In Claude

  1. Download the file.
  2. Open Settings and find Skills.
  3. Upload it. For a .md file, place it in a folder named after the skill as SKILL.md, then zip the folder.

In ChatGPT or Copilot

Open the file, copy everything, and paste it into a Custom GPT, a Project's instructions, or a Copilot agent. Or paste it at the top of a new chat.

Build your own

Any prompt you reuse weekly is a skill waiting to happen. Ask Claude: "Use the skill creator to turn this prompt into a skill."

Tools

The AI tools worth knowing.

Checked October 2026. Prices change often, so confirm with the vendor, and ask IT before connecting a tool to college accounts or data.
